1. Scope
This Privacy Policy applies to the TripGain email operations platform, including its web application, APIs, campaign delivery, mailbox connections, analytics, warmup, and related support services (collectively, the “Services”). It does not govern third-party products that maintain their own privacy policies.
2. Information we collect
Account and workspace information
We collect information such as name, work email, company, role, authentication details, workspace settings, and support communications when an account is created or administered.
Connected mailbox and Google account information
When an administrator connects Google Workspace, Google provides the account email address, profile name, verification status, access token, and refresh token after the user grants permission. TripGain does not receive or store the user’s Google password. The application requests the Gmail send scope so it can send messages selected and configured by the authorized user.
Campaign and recipient information
Customers may upload or create recipient contact details, company information, campaign content, templates, schedules, suppression records, and custom fields. Customers are responsible for ensuring they have a lawful basis and any required permissions to use this information.
Service, security, and delivery information
We process device and browser information, IP addresses, timestamps, audit activity, configuration changes, API usage, delivery events, opens, clicks, replies, bounces, complaints, and unsubscribe events to operate, secure, and improve the Services.
3. How we use information
- Provide, authenticate, maintain, and secure customer workspaces.
- Connect authorized mailboxes and deliver campaigns selected by customers.
- Schedule and pace messages, rotate senders, process replies, and enforce suppressions.
- Generate analytics, deliverability reports, alerts, and campaign recommendations.
- Investigate abuse, prevent fraud, troubleshoot failures, and protect users and recipients.
- Comply with applicable law and enforce our agreements.
We do not sell personal information or Google user data.
4. Google API Services user data
TripGain’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google account data is used only to provide and improve the user-facing mailbox connection and email-sending functionality requested by the user.
We do not use Google user data for advertising, sell it, or allow humans to read it except when necessary for security, legal compliance, support requested by the user, or where the data has been aggregated and de-identified. Users may disconnect a Google mailbox from TripGain and may also revoke access through their Google Account security settings.

5. How we disclose information
We may disclose information only as needed to:
- Service providers that host, secure, monitor, or support the Services under contractual safeguards.
- Mail, identity, and integration providers selected or authorized by the customer.
- Professional advisers, regulators, courts, or authorities when legally required.
- A successor in a merger, financing, acquisition, or sale, subject to appropriate protections.
We do not disclose customer campaign or Google user data to data brokers.
6. Security
TripGain uses access controls, encrypted transport, encrypted stored credentials and tokens, audit logging, environment separation, suppression controls, and infrastructure monitoring designed to protect information. No system is completely secure, and customers must protect their credentials, restrict administrative access, and promptly report suspected compromise.
7. Retention and deletion
We retain account, campaign, delivery, and integration information for as long as needed to provide the Services, satisfy contractual obligations, resolve disputes, maintain suppression and security records, and comply with law. An authorized administrator may request account or connected-mailbox deletion. Some records may remain in encrypted backups or be retained where legally or operationally required.
8. Your choices and rights
Depending on location, individuals may have rights to access, correct, delete, restrict, or obtain a copy of their personal information, or object to certain processing. Workspace administrators can update much of their information inside the Services. Requests may be submitted to support@tripgain.com and may require identity or authority verification.
Email recipients can use the unsubscribe link included in campaign messages. TripGain maintains suppression records to prevent further sending after a valid unsubscribe request.
9. International processing
TripGain and its service providers may process information in countries other than where it was collected. Where required, we use appropriate contractual or legal safeguards for these transfers.
10. Children
The Services are intended for business users and are not directed to children. We do not knowingly collect personal information from children through the Services.
11. Changes and contact
We may update this policy as the Services or legal requirements change. The updated date above identifies the latest revision. Material changes may also be communicated through the Services or by email.
